Hosting International Faculty or Visitors at Chanakya University

As a CU faculty member, if you are considering hosting an international academic, here are the essential guidelines:

Invitation Process

Identify potential international faculty based on their academic credentials and research alignment with your department.

Seek approval from the Department Head and Dean (Academic Affairs), followed by formal approval from the Vice-Chancellor.

Send a formal invitation through the Academic Affairs Office (AAO), specifying the terms of engagement and any financial support.

Visa and Work Permit Assistance

The AAO will assist in preparing documentation for visas and work permits.

Ensure the guest complies with immigration regulations and registers with the Foreign Regional Registration Office (FRRO) if needed.

Onboarding & Orientation

Provide a comprehensive onboarding experience, covering campus facilities, administrative procedures, and an introduction to local culture.

Assign a mentorship role to yourself or another faculty member to ensure ongoing support during the visitor’s stay.

Kindly inform different schools regarding the visiting guest faculty, who may want to interact or academically engage them during their stay.

Accommodation & Administrative Support

Short-term visitors may be offered guest accommodations, while long-term visitors should receive guidance in securing housing.

Arrange office space and access to university IT systems, including email and research databases.

Teaching and Research

Collaborate with the visitor to outline teaching responsibilities and research opportunities before their arrival.

Facilitate opportunities for joint research and provide access to funding and academic resources.

Feedback & Evaluation

Regularly assess the visitor’s contributions to teaching and research, and establish a feedback mechanism to improve future hosting experiences.

Departure & Follow-Up

Ensure a smooth departure, including formal exit procedures and a debrief with senior management to gain insights for improvement.

Encourage continuing engagement for potential future collaborations.

By following these guidelines, you will ensure a smooth and enriching experience for both the visiting faculty and Chanakya University.

These visits can fall under different categories and require support from different sections of Chanakya University.

  • Exchange Visit (less than 3 months): Ideal for ultra-short-term academic exchanges.
  • Short-Term Engagement (3-6 months): For faculty interested in collaborative teaching or research.
  • Long-Term Engagement (6 months to 3 years): Extended stays to integrate into CU’s academic community.
